1. Who we are.
LicenceMyGun is the "responsible party" under South Africa's Protection of Personal Information Act (POPIA). Contact us at info@licencemygun.co.za.
2. What we collect.
- Your account: your email address.
- Your application answers: the details needed for the SAP 271 form and your motivation letter. These include your name, ID number, contact details, address, and the firearm you want to license.
- Sensitive details: your population group and your criminal-history answers. The SAPS form requires these. We ask for your consent before collecting them, and use them only to prepare your documents.
- Your spouse's details, if the form asks for them. Please make sure you're allowed to share them.
- The documents we prepare for you, saved to your account.
- Payment records: the amount, date, and a payment reference. Yoco handles your card details. We never see or store them.
- Status-check references: if you use the free status check, the reference numbers you save.
3. Why we use it.
Only to prepare your documents, let you log in, take payment, show your saved applications, check your SAPS status, and answer your emails. We don't sell your information. We don't use it for advertising.
4. Who receives it.
We use trusted service providers to run LicenceMyGun. They handle your information only to do their job for us:
- Hosting and database providers store your account and applications. Our database is in Ireland.
- A letter-writing service provider, based in the USA. To write your motivation letter, your details are sent to them.
- An email provider sends our emails, including your login links.
- A payment provider (Yoco) processes your payment. We never see your card details.
- Supporting services that find and capture public crime-news pages, and relay your reference number to SAPS for the free status check.
We don't sell your information or share it with anyone else, unless the law requires it. Some providers are outside South Africa, so your information is sent abroad. We choose providers that protect personal information.
5. How long we keep it.
- Applications are deleted 6 months after you last used them. We email you before this happens, so you can download your documents first.
- Saved status-check references are deleted automatically 180 days (about 6 months) after you last checked them.
- Payment records are kept as long as the law requires for tax and accounting.
- You can delete an application yourself at any time from My Applications. This also removes its saved files.
- Deleted data may remain in our providers' backups for a short time before it is overwritten.
6. Security.
Your data is encrypted in transit. Access to the database is restricted, so each customer can only see their own applications. No system is perfectly secure, but we take care to protect yours.
7. Cookies.
We use only what's needed to keep you logged in. We don't use advertising or tracking cookies.
8. Your rights.
Under POPIA you can ask to see your information, correct it, or delete it. You can also withdraw your consent or object to how we use it. Email info@licencemygun.co.za and we'll reply within 30 days. If you're unhappy with our response, you can complain to the Information Regulator: inforeg.org.za, complaints.IR@justice.gov.za.
9. Children.
This service is for people aged 18 and over. We don't knowingly collect children's information.
10. Changes.
If we change this policy, the new version will appear on this page with a new date.
